Sharing files and folders

With ArtCloud, you have the option of sharing files and/or folders with others. This is possible with internal ArtCloud users as well as with external users (via e-mail address).

NOTE: Incorrect settings can lead to other users changing or even deleting your files. Always proceed carefully when sharing!


1. Open the ArtCloud in your browser with this link: https://artcloud.hfbk.net

2. Select the file or folder you want to share.

3. Click on the share icon.

4. The share menu will open.

5. If you want to share with an internal ArtCloud user, enter the name of the user in the address field. For an external user, enter the user's e-mail address.

6. As soon as you have entered the name or email address, the users will appear in the share list. In the picture you can see an e-mail user (1st red box) and an internal user (2nd red box).

7. IMPORTANT: You should now adjust the rights and possibly the duration of the release. By default, reading and downloading are permitted. The duration of the release is 90 days. After that, the release is automatically canceled and any communicated links become permanently invalid.

8. To do this, click on the three dots behind the user name/email address. The authorization menu opens. The menu is different for external users and internal users. The image on the left shows an external user, the image on the right an internal user.

                

9. The authorization options for an external user:
Read-only: The user can read but not change anything
Allow uploading and editing: The user can read/edit/delete and upload new files
Drop files (upload only): The user can only upload files to the folder
User-defined permissions: The permissions can be set even more precisely here. E.g. read, upload and delete, but not edit.
Hide download: The ability to download files is deactivated
Password protection: Access is protected with a password. This is generated automatically, but can also be defined by the user.
Set expiration date: The release can be limited in time here. The release is automatically deleted on the set date. The default setting is 90 days.
Note to recipient: A message can be added to the release here. This is sent directly to the user by email
Cancel approval: The approval is removed immediately

The authorization options for an internal user:
Allow editing: Files can be changed
Allow creation: Files and folders can be createdAllow deletion: Files and folders can be deleted
Allow sharing: Content can be shared with other people. Attention, you have no control over with whom!
Allow download: Files and folders can be downloaded
Set expiration date: Sharing can be limited in time here. The share is automatically deleted on the set date. The default setting is 90 days.
Note to recipient: A message can be added to the share here. This is sent directly to the user by email
Cancel approval: The share is removed immediately

10. Set the desired authorizations. The settings become active immediately.

11. You can view and edit your shares at any time in the share menu on the left-hand side or directly on the file or folder
